How It Works

Formula Flags

The RACI tracker uses Baserow formula fields to enforce accountability:

• Missing_Owner: Checks whether the Responsible field on each task/deliverable is empty. If no one is Responsible, the flag triggers. Simple, but no other RACI template does this.
• Missing_Accountable: Similarly flags tasks where no Accountable party is assigned. RACI discipline requires both R and A to be defined.
• Assignment_Count: A rollup per person showing total R, A, C, and I assignments. Surfaces workload imbalances before they cause problems.

Event-Triggered Alerts

When Missing_Owner flips to true — because someone was unassigned, a new task was added without an owner, or a team member was removed from the project — an automation sends a single email to the project lead. The alert includes the task name, project name, and the current RACI state (who is Accountable, Consulted, and Informed, even if Responsible is empty). Fires once, re-arms when an owner is assigned.

Scheduled Digest

Every Monday, a scheduled automation queries all tasks where Missing_Owner = true or Missing_Accountable = true, groups them by project, and sends a digest to the project manager. One email identifies every accountability gap in the portfolio.
