How It Works
Formula Flags
The to-do list uses a single powerful formula pattern:
- Overdue Flag:
IF(AND(Due_Date < TODAY(), Status != "Complete"), TRUE, FALSE). That is all it takes. Every time the page loads, every task is evaluated. Overdue items surface immediately. - Days_Overdue: A formula computing how many days past due a task is, adding urgency context to your daily planning.
- Priority Score: Combines user-set priority (High / Medium / Low) with days until due to create a computed sort order.
Event-Triggered Alerts
When the Overdue flag changes from false to true — either because a due date passes or because you set a due date in the past — an automation fires a one-time email. The email includes the task name, original due date, and how many days overdue it is. Clear the flag by completing the task or extending the deadline, and the system re-arms.
Views That Do the Sorting for You
- Today View: Filters to tasks due today or overdue, sorted by priority
- This Week View: Everything due within seven days
- By Priority View: High > Medium > Low, with overdue items pinned to the top
