How It Works

The Formula Flags

Each candidate record carries a Current_Stage, a Stage_Entry_Date, and a linked Position with expected stage durations. The Stale_Candidate formula compares today() - Stage_Entry_Date against the expected duration for the current stage. When the candidate has been in-stage longer than expected, the flag fires.

A second formula calculates Days_in_Pipeline (total time from application to current date) so you can track overall candidate experience alongside stage-level velocity.

The Event Alerts

When a candidate's Current_Stage field changes, an event-triggered automation identifies the new stage's assigned reviewer and sends them an email. The alert includes everything they need to act: candidate name, resume link, position title, and any notes from the previous reviewer.

When the Stale_Candidate flag fires, a separate alert notifies the recruiting lead so they can follow up with the interviewer or move the candidate forward.

The Scheduled Digest

A daily automation compiles pipeline metrics and sends a summary email: total open positions, candidates per stage, new applications in the last 24 hours, candidates flagged as stale, and interviews scheduled for today.
