How It Works

The Formula Flags

Each project record has a Budgeted_Hours field. A rollup formula sums all linked time entries to calculate Logged_Hours. The Over_Budget flag evaluates Logged_Hours > Budgeted_Hours. A second formula calculates Budget_Utilization as a percentage, and a third computes Hours_Remaining.

A Burn_Rate formula divides logged hours by elapsed project days, projecting whether the project will exceed budget at current pace — catching overruns before they happen, not just after.

The Event Alerts

When a project's Over_Budget flag transitions from false to true, an event-triggered automation emails the project manager. The alert includes the project name, client, budgeted hours, logged hours, top contributors, and a link to the project record. The alert fires once per transition and re-arms if the budget is increased.

The Scheduled Digest

A weekly automation compiles project budget status and team utilization into a summary email. The digest groups projects by status (Under Budget, At Risk, Over Budget) and includes hours logged in the past week, total hours to date, and budget utilization percentage. Project managers get a complete financial picture every Monday morning.
