Content Calendar & Editorial Tracker Template — Overdue Content Gets Flagged, Not Forgotten

Target Keyword: content calendar template Secondary Keywords: editorial calendar, content planning template, editorial tracker, content workflow management Vertical: Content & Marketing Word Count: ~1,000

Every content team has the same problem: a beautifully planned editorial calendar where half the posts are silently past their publish dates. The calendar says "Blog Post — Q2 Product Launch" was due last Tuesday. The writer says it is "almost done." The editor has not seen a draft. Nobody flagged it because nobody was watching.

The OpenSource AI Pro Content Calendar & Editorial Tracker watches for you. Every content piece carries an Overdue_Publish formula flag that fires the moment a publish date passes without the status changing to "Published." Your editor gets an email alert when content slips. A daily digest rolls up every overdue and at-risk piece into a single morning report. The calendar enforces itself.

Key Features

  • Overdue_Publish Flag — A formula field compares each content piece's target publish date against today's date and its current status. If the publish date has passed and the status is not "Published," the flag fires automatically. No more silent deadline slips.

  • Publication Rate Rollup — Auto-calculated metrics show your team's on-time publication rate, total pieces published vs. planned, and average days from draft to publish. These numbers update as content moves through the workflow.

  • Editor Event Alert — When a content piece transitions to overdue status, the assigned editor receives an email notification. The alert includes the content title, writer, target publish date, current status, and days overdue.

  • Daily Editorial Digest — A scheduled automation sends a morning summary of all content currently in the pipeline: what is overdue, what is due this week, and what is stuck in a particular stage. One email gives your editorial lead full visibility.

  • Multi-Stage Workflow — Track content through Idea, Assigned, Drafting, In Review, Approved, Scheduled, and Published stages. Each stage has an owner and a target date, so you can see where content gets stuck.

  • Content Type and Channel Organization — Organize by content type (blog, social, email, video, whitepaper) and distribution channel. Plan cross-channel campaigns with linked content pieces.

How It Works

The Formula Flags

Each content piece has a Target_Publish_Date and a Status field. The Overdue_Publish formula checks whether the target date has passed AND the status is anything other than "Published" or "Cancelled." When true, the flag fires.

A second formula calculates Days_Overdue for prioritization, and a third calculates Days_in_Current_Stage to identify content that is stuck in review or waiting for approval.

The Event Alerts

When a content piece's Overdue_Publish flag transitions from false to true, an event-triggered automation emails the assigned editor. The alert fires once. When the content is published or the target date is updated, the trigger re-arms.

The Scheduled Digest

A daily automation compiles the editorial pipeline status and sends a consolidated email. The digest is organized into three sections: Overdue (past publish date, not published), Due This Week (upcoming deadlines), and Stalled (content that has not changed status in more than 5 days).

vs the Alternatives

| | OpenSource AI Pro | CoSchedule / Loomly | Notion / Trello | |---|---|---|---| | Overdue flags | Formula-driven, automatic | Calendar view only | Manual status updates | | Email alerts | Event-triggered on deadline slip | In-app notifications only | None / manual integrations | | Per-seat cost | $0 (self-hosted) | $19-49/user/month | $8-10/user/month | | Publication rate tracking | Auto-calculated rollup | Basic analytics | Manual calculation | | Setup time | Under 30 minutes | 1-2 hours | Hours of template building |

CoSchedule and Loomly are solid editorial tools — but they charge per seat, run in someone else's cloud, and rely on in-app notifications rather than proactive email alerts. Notion and Trello give you boards and pages but no automated deadline enforcement. This template gives you the automation without the subscription.
