Test Plan & QA Test Case Tracker Template — Every Failed Test Gets Flagged, Every Pass Rate Gets Tracked

Engineering leads and QA managers live in two worlds: the test management tool their team actually uses, and the spreadsheet they maintain on the side because the tool's reporting is either too rigid or too expensive to share with stakeholders. Most test plan templates are flat checklists — a list of test cases with a Pass/Fail column that tells you nothing until someone manually tallies the results.

The OpenSource AI Pro Test Plan & QA Test Case Tracker is a structured test management system with formula-driven flags. Every failed test gets flagged automatically. Pass rates roll up by test suite, by feature, and by release. Your QA lead gets an email alert the moment a critical test fails. A daily digest summarizes test execution progress across every active test plan.

Key Features

  • Failed_Test Flag — A formula field evaluates each test case's execution result. When a test fails, the flag fires immediately. Filter any view to show only failures and you have your regression list, built automatically.

  • Pass Rate Rollup — Automatic pass/fail/blocked/not-run percentages calculated at the test suite level, the feature level, and the release level. No pivot tables, no manual counting. The numbers are always current.

  • QA Lead Event Alert — When a test case with "Critical" or "High" priority fails, an event-triggered email fires to the QA lead. The alert includes the test case ID, description, test suite, and the tester who executed it.

  • Daily Execution Digest — A scheduled automation sends a summary of test execution progress: total cases, executed, passed, failed, blocked, and remaining. One email per active test plan, every morning.

  • Test Plan Hierarchy — Organize test cases into test suites, link suites to features, and link features to releases. Navigate from a failed test case all the way up to the release it blocks.

  • Pre-Seeded Sample Data — The template ships with a realistic test plan so you can see the Failed_Test flag already lit, the pass rate already calculated, and the alert already configured. Understand the system before you add your own data.

How It Works

The Formula Flags

Each test case carries an Execution_Result field (Pass, Fail, Blocked, Not Run). The Failed_Test formula evaluates whether the result equals "Fail." Simple — but when combined with filtered views and the event alert, it transforms a static checklist into an active monitoring system.

A second formula calculates Days_Since_Last_Execution so you can identify test cases that have not been run in the current cycle.

The Event Alerts

When a test case's result changes to "Fail" and its priority is "Critical" or "High," an event-triggered automation sends an email to the QA lead. The alert fires once per failure. When the test is re-executed and passes, the trigger re-arms.

This means your QA lead hears about critical failures in real time — not at the next standup.

The Scheduled Digest

A daily automation aggregates test execution metrics across all active test plans and sends a consolidated progress report. The digest includes pass rate, failure count, blocked count, and overall completion percentage. Stakeholders get visibility without needing login credentials to your test management tool.

Who It's For

  • QA Managers running manual or hybrid test execution for web, mobile, or embedded applications
  • Engineering Leads who need test coverage visibility across multiple feature teams
  • Release Managers tracking go/no-go criteria based on test pass rates
  • Product Managers who want test execution status without learning a test management tool
  • Small development teams (5-50 engineers) who have outgrown spreadsheets but cannot justify TestRail or Zephyr pricing

vs the Alternatives

| | OpenSource AI Pro | TestRail / Zephyr | Google Sheets | |---|---|---|---| | Failed test flags | Formula-driven, automatic | Built-in but $30+/user/mo | Manual conditional formatting | | Pass rate rollups | Auto-calculated at every level | Built-in reporting | Pivot tables, manually maintained | | Email alerts | Event-triggered on failure | Webhook integrations (extra config) | None | | Per-seat cost | $0 (self-hosted) | $30-75/user/month | Free but no automation | | Setup time | Under 30 minutes | Hours of configuration | Hours of spreadsheet design |

Dedicated test management tools are excellent — when your budget supports $30-75 per seat for every engineer and stakeholder who needs visibility. This template gives you structured test management with automated flags and alerts at the cost of hosting Baserow.
